PRIVACY POLICY

Last updated: July 15, 2026

This Privacy Policy explains how FitCrew ("we," "us") collects, uses, and protects your information when you use our website, applications, and services (the "Service"). By using FitCrew, you agree to the practices described here.

1. Information We Collect

We collect information you provide and information generated as you use the Service:

  • Account information: email address, username, display name, and password (stored securely, never in plain text).
  • Profile & health inputs: optional details you enter such as age, biological sex, height, weight, activity level, and goals — used to calculate your fitness and nutrition targets.
  • Activity data: workouts, sets and reps, habits, body-weight logs, food logs, and similar entries you record.
  • Content: posts, photos, comments, and other material you share.
  • Usage & device data: basic technical information such as device type, browser, and how you interact with the Service, used to keep it running and improve it.

2. How We Use Your Information

  • Provide and personalize the Service, including calculating your calorie and macro targets;
  • Power social features such as your profile, followers, feed, and leaderboards;
  • Maintain security, prevent abuse, and troubleshoot problems;
  • Communicate with you about your account and the Service;
  • Improve and develop new features.

3. What Others Can See

FitCrew is a social product. Your profile and content you post may be visible to other users depending on your privacy settings. Do not share information you want to keep private. You control much of what is public through your account settings.

4. How We Share Information

We do not sell your personal information. We share it only:

  • with service providers who help us operate the Service (for example, hosting and database providers) under confidentiality obligations;
  • when required by law or to protect the rights, safety, and security of FitCrew and its users;
  • in connection with a merger, acquisition, or sale of assets, with notice to you where required.

The service providers (sub-processors) that process data on our behalf are: Supabase (database, authentication, and file storage), Vercel (web hosting), Expo (mobile app delivery), and Resend (transactional email such as inactivity notices). We also query USDA FoodData Central and Open Food Facts to look up nutrition information for foods you search; your search terms are sent to those services to return results.

5. Data Retention

We keep your information for as long as your account is active. You can delete your account at any time from within the app, after which we will delete or anonymize your personal information except where we must retain it to comply with legal obligations or resolve disputes.

To keep the community free of abandoned accounts and empty groups, we also remove dormant data automatically:

  • Inactive accounts: if you do not open the app for 365 consecutive days, your account and its associated content are permanently deleted.
  • Inactive crews: a member-created crew with no activity (no messages or new members) for 90 consecutive days is permanently deleted. Official FitCrew crews are exempt.

Before an account or a crew you created is deleted for inactivity, we send an advance warning email to the address on file so you have the opportunity to keep it by returning to the app.

6. Your Rights & Choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can update much of your information in the app, or contact us to exercise these rights.

7. Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections and access controls. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Who can access your information. FitCrew personnel may access your account data, including private content such as progress photos, where necessary to operate, secure, support, or troubleshoot the Service, to investigate suspected violations of our Terms, or where required by law. Access is limited to those who need it for these purposes. We do not sell your personal information, and we do not use your private content for advertising.

8. Progress Photos

Progress photos are private by default. They are not shown on your profile, in any feed, or to other members. They are held in private storage and are reachable only through short-lived links issued to you — there is no public address for them. We do not scan them and we do not share them with third parties.

Deleting a progress photo removes both the record and the underlying image file. Personnel access is limited as described in the Security section above.

9. Children's Privacy

FitCrew is not intended for children under 13, and we do not knowingly collect personal information from them. If you believe a child under 13 has provided us information, contact us and we will delete it.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above and, for material changes, provide additional notice where appropriate.
